Interlibrary Loan Services

All Indiana State University faculty and staff (including retirees) and currently enrolled students may use this service. A valid Sycamore ID card is required for all users. Since no library can possibly acquire all works published, the purpose of ILL is to obtain requested materials from other libraries. The conditions of this service are set by the Interlibrary Loan Code of the American Library Association, by the policies of individual lending libraries, and the policies of Cunningham Memorial Library. In addition, ISU Interlibrary Loan will process requests from currently enrolled Distance Education students who need materials owned by Cunningham Memorial Library. Some restrictions apply. The library uses ILLiad software to process interlibrary loans. This requires that all ILL requests be initiated online. First-time users must set up an account (click on New Users -- Start Here!)

Who may submit an Interlibrary Loan request?
All Indiana State University faculty (including emeriti faculty), currently employed staff and currently enrolled students may use this service. A valid Sycamore ID card is required. Non-ISU-affiliated library users should direct requests to the public library closest to their home address, or, if a student at another college, to his or her own college ILL department.

How do I get an ID card?
If you are on campus visit the Public Safety office at 210 N.6th Street. ISU Distance Education enrollees may order a card by phone at 812.237.8888 or email parking@indstate.edu and the card will be mailed to you. For more information see Public Safety

How do I know if the ISU library has the item?
Check the library online catalog to determine if ISU owns the material or has a link to a full text source. Also check the E-journal option available from the library home age. For off-campus access to library databases see Off Campus Instructions

How can I get more help?
Librarians at the reference/information desk (812.237.2580 or 800.851.4279) can help you with your search strategies and may be able to suggest alternative resources available at ISU. If you are a distance ed student, read Services for ISU Distance Education Students.

When should I submit an interlibrary loan request?
ISU patrons with access to the main campus may request items when the material is not available at ISU. If the item is owned but is checked out, you may place a recall at the circulation desk or request through ILL; please make us aware of the item's status when you make your request. Distance ed students may request any circulating ISU-owned items (except those available electronically) as well as items not available at ISU.

What types of materials may I request?
Some types of materials you may request are books, magazine and journal articles, government documents, conference proceedings and transactions, theses, dissertations, newspaper articles, materials available on microforms, audiovisual materials, copies of archival materials, and musical scores. Limit your requests for loans to a number that you can reasonably expect to read in two or three weeks.

Why might I be turned down for a request?

  • If we cannot verify your affiliation with ISU.
  • If you do not have a current Sycamore ID card.
  • If you request textbooks required for ISU classes that are available for sale in the ISU bookstore.

  • If you've requested an item available to you at the ISU library (exemptions may apply to non-local
        Distance Ed enrollees) or available as full text on the web.
  • If we are turned down by all lending libraries for a reason such as non-circulating item,
        checked out, too fragile to copy, etc. Certain items such as popular fiction, movies,
        audio CDs and recent computer application manuals are very difficult to obtain.
  • If from the citation information you supplied us, we can find no library that owns it.
  • If you are a Distance Ed student who has requested a non-documentary movie (DVD or VHS), audio CD, or computer
        game from the ISU Browsing Media collection. These have short due dates of one week and cannot
        be renewed. You may check these out at the library directly if you are on campus and have a way of
       returning them before they become overdue. There
        are limits on the number of Browsing Media items that can be checked out at one time.
  • If a request for a dissertation comes in on the article request form.

Where do I submit an interlibrary loan request?
You may fill out a request by clicking on the ILLiad ILL link and logging on with your ILLiad user name and password. Some citation databases (for example, FirstSearch, and Ebscohost-based databases) also have an ILL link. Please make sure you have searched the library online catalog before submitting an interlibrary loan request.

How can I get help with my ILL Account?
Already registered but forget your password? Please DO NOT register as a new user again. Use the 'Forgot Password' feature on the ILLiad login screen. If ILLiad recognizes your username you will be sent an email with directions on how to reset your password information. If your username doesn't work, call (812.237.2566) or send an email libill@indstate.edu to Interlibrary Loan. We will be able to tell you your current username and can reset your password to a generic password. You will then be able to login and change your password to something only you know. Although you may leave voicemail or email messages at any time, ILL responses to questions can be given only during our open hours of 8:00 a.m. - 4:30 p.m. Monday through Friday.

What if I don't have a computer?
ILLiad is available from any computer that has access to the web, so you may log in from any on- or off-campus location. Staff at the library reference/information desk or in the interlibrary loan office can also help you. If you are a student with a disability that requires accommodation, contact Disabled Student Services at 812.237.2301. Faculty and staff needing accommodation may talk to interlibrary loan at the ILL office or by calling 812.237.2566.

Is there a restriction on the number of requests I may submit?
For the best service, we recommend no more than ten per week. If you have a large number of requests, submit the requests in batches, with items marked in order of priority. In peak research paper writing periods of the semester, we receive hundreds of requests per week so we must juggle one person's needs against requests from other people.

How long will it take to receive the material I requested?
Although we receive some materials in seven days or less, we suggest that you allow at least 10-14 working days (do not count weekends or holidays) for materials to arrive. Photocopies generally arrive sooner than loans. Items that are not commonly held may take longer to obtain as we may have to contact many libraries. Plan ahead when doing your research; make sure your citation is accurate; and take shipping time into consideration.

How much does it cost?
At this time there is no charge to you. Currently the library pays all charges for the cost of borrowing items and receiving photocopies from other libraries. Please be aware that there are many costs associated with obtaining materials (for instance, staff time, shipping and handling charges, copyright payments, lending fees). Articles published within the last five years often cost us $35.00 or more each, so please only request what you really need.

How will I know when the item I requested is available?
Notification is by email. You may also check your ILLiad account for item status.

Where do I pick it up?
Loans are held at the library circulation desk under your name. Current ISU ID is required for pick-up. Other delivery options are available for faculty and for off-campus students currently enrolled in Distance Education courses. Most articles will be delivered electronically. Any paper copies we receive that are not suitable for electronic delivery will be held at the library circulation desk or mailed based on your ILLiad profile.

Electronic delivery allows retrieval of an article in PDF format from any computer from which you can access your ILLiad account. Articles will be available 14 days from the posting date to allow you to save or print. Notify ILL promptly if pages are missing or there are other problems with the document. Please allow plenty of time when opening these files. On some computers they may take 5 or more minutes to open.

Faculty wishing to have someone else pick up their ILL materials, must have a proxy letter on file in the circulation department. The person picking up the item must bring their own current ISU ID for identification purposes. (Non-affiliated persons may not pick up materials even if they are related to the requestor.)

Faculty and staff (including graduate assistants with departmental offices) also have the option of having materials sent to them through campus mail. You are financially responsible for the item as soon as it leaves the ILL office and until it returns.

Non-local distance ed students who are currently enrolled in classes that do not require the student to attend class on campus will be mailed materials. It is the responsibility of those students to adhere to the due dates and return materials to interlibrary loan before the item is overdue. Please DO NOT return directly to the lending library (if not ISU) as our records then do not get updated correctly, and you may be billed for a lost item.

How long may I keep the material?
Electronically delivered articles will be available in PDF format for 14 days from date of delivery. Paper photocopies are yours to keep. Books have a variable loan period, usually around three weeks from the date of receipt at ISU.

Recall notices are sent when the lending library needs the book back before the due date. Please return recalled items to the circulation desk promptly.

If there are restrictions on your loan, such as NO RENEWALS, the restrictions will be noted on the ILL label. "In library use only" items will be put on reserve and must be used in the building.

Courtesy notices (item will soon be due), and overdue notices (item is past the allowed due date) will be sent to you via email. Your ILLiad account will be automatically blocked if an item is not returned soon after you have received an overdue notice.

How can I renew an ILL Loan?
Login to your ILLiad account. Renew your item by clicking on 'Checked Out Items' under teh View menu located on the left side of the main page. Next click on the Transaction Number of the item you wish to renew. Then click on the RED 'Renew Request' text. Your new due date (or not renewals allowed message) will appear in the upper left corner.

Unless a library has already specified "No renewal" in advance, or you have already had one renewal, the initial renewal period is set by ILLiad for two weeks. Libraries may grant more time or may refuse a renewal. You will receive an email several days after your initial renewal request with the true renewal date. If you have waited until after the due date to renew, you will have to contact the ILL office directly.

Whom should I contact about the progress of my request?
Check the status in your ILLiad account. If you forget your login name or password, ILL staff can help. Call during business hours Monday-Friday, 8:00 a.m.-4:30 p.m., 812.237.2566 or send an email message to libill@indstate.edu If you forget your password, use the 'Forgot Password' feature on the ILLiad login screen.

What happens if I lose my interlibrary loan book?
You will be charged a standard replacement cost plus a nonrefundable processing fee. Additional charges from the lending library will be also charged to your account. Even if you have already paid for a lost book, you are encouraged to return it when found. A lost item can jeopardize our ability to borrow materials from the lending library. Depending on how long the book has been gone, a partial refund may be allowed.
